Event Coordinator Job Description

As the events coordinator you will report directly to the Events Director and be expected to take account for various responsibilities in the execution and marketing of both physical and virtual events across all brands. You will be asked to step in and assist where resources are needed and will be expected to learn and execute a variety of tasks from telemarketing, reporting and onsite execution.

 

Detailed tasks/skills

  • Become thoroughly familiar with the events run by Haymarket.
  • Work with events team to co-ordinate activity prior to the launch of the promotional campaign for each project.
  • Help to schedule regular meetings on each project with the relevant publishing team, in accordance with a schedule agreed with event manager.
  • Establish and maintain good relationships with publishing and sales teams.
  • Establish and maintain good relationships with contracted key suppliers.
  • Know how to accurately process revenues for various events and maintain both a manual ledger and a computer batch sheet, as directed by the Senior Event Manager.
  • Learn how to compile and maintain a project work file for each event.
  • Learn the design and production process for all printed material relating to projects.
  • Assist in promoting attendance at Haymarket events.
  • Attend each event in your portfolio.
  • Assist with specific telemarketing aspect of events to ensure that all known interested parties are reminded to enter or attend.
  • Ability to handle multiple tasks simultaneously and be able to prioritize accordingly
  • Ability to participate/lead and work effectively in multiple team environments
  • Learns quickly and can effectively cope with change, and can handle risk and uncertainty

Person Specification

Preferred Attributes/Skills

  • Candidates should possess a Bachelors degree and have a minimum of 1-2 years event planning experience.
  • The ideal candidate will be a fast learner and a creative thinker
  • With projects running concurrently you will need the ability to multi-task and work well under the pressure of deadlines.
  • Attention to detail and the ability to plan are also essential attributes.
  • Good written and spoken English is of paramount importance, as is a good eye for detail in checking written documents.
  • Candidates should be able to write proposals, keep accurate minutes of meetings.
  • Proficient in Microsoft Office including Word and Excel.
  • The successful candidate will be a self-starter, with the ability to work enthusiastically with event manager.
  • Good time management, a sense of humor and the ability to work as part of a team are prerequisites
