PRI Healthcare Solutions, a division of Haymarket Media, Inc, is seeking a Senior Program Manager in their custom programs department based in Montvale, NJ. PRI Healthcare Solutions, the custom promotional arm of Haymarket Media, is a full-service medical communications company dedicated to producing timely, clinically relevant, scientifically rigorous educational programs in various media and formats.

This is a full-time position responsible for managing departmental resources to deliver quality medical education digital, web, live and print programs that meet client needs. The Senior Program Manager will work with management, sales and editorial to develop program proposals and pricing for new projects.

Person Specification

Specific Responsibilities:
• Work closely with sales, editorial and department management to brainstorm new and innovative solutions for clients
• Provide in depth sales support to one or more salespeople including development of pricing and proposals for both existing and new programs
• Supply support and back-up to Director and Associate Directors of the department
• Act as the lead client contact for all sold programs for a client’s business
• Manage large, complex accounts and/or client’s for multiple sales people
• Oversee sold programs (live meetings, print, web, digital) from start to finish
• Liaise with salespeople and clients to gain an understanding of requirements for their programs including legal and regulatory concerns
• Stay up to date on assigned pharmaceutical clients compliance procedures (medical, legal and regulatory review processes)
• Create, maintain and follow program timelines
• Manage programs through editorial, art, production and printing ensuring they stay on track and within budget
• For live product theaters, manage a Program Manager or Program Coordinator who will liaise with pharmaceutical associations to ensure that requirements and deadlines are understood and met
• Personally manage or oversee management of all program vendors including but not limited to; hotels, catering, audiovisual, printers, list rental, e-mail deployment, digital, etc.
• Review, code and approve all program related invoices
• Manage program billing and invoicing for all assigned accounts
• Run weekly/monthly program meetings/teleconferences and provide progress reports to team and clients
• Manage, develop, and mentor any direct reports (Program Manager, Associate Program Manager, Coordinator, Administrative Assistant)
• Have an excellent understanding of all standard programs and be able to train staff on all program types

Faculty & Logistic Responsibilities (Meetings):
• Recruit faculty presenters for product theaters and serve as their primary contact
• Oversee the coordination of faculty hotel and travel arrangements
• Manage the preparation of faculty logistic letters
• Plan faculty slide reviews and on-site client/faculty dinners

On-Site Responsibilities (Meetings):
• Manage the preparation of on-site Meeting Manuals for national product theaters
• Work with internal support team and meeting planning vendors to arrange for local on-site meeting planners and registrars
• Travel to product theaters (nationally) to manage programs on-site

Post Program/Meeting Responsibilities:
• Manage attendee lists and deliver year end report to clients
• Oversee the compilation of post-meeting evaluation reports including forwarding onto clients
• Reconcile all program expenses upon program completion

• Experience managing people and effectively delegating
• Ability to analyze and map out new program types with minimal supervision
• Good time management and prioritization abilities
• Strong customer service
• Proficient at Word, Excel and PowerPoint
• 7-12 years medical education/communications/agency experience
